Have you received a positive response from the board and the Swedish Board of Agriculture? Congratulations, then it's just to get started!

You have support from the office throughout the project period. We will, for example, offer training at the project start, have follow-up meetings, and support you in the application for payment.

Some advice along the way

Read the decision on support carefully

From experience, we know that one wants to get started quickly, but it also helps if you do it right from the beginning.

Therefore, read through your decision on support carefully and feel free to look at which questions need to be answered in the final report already now. Then you know what will eventually need to be reported back.

Note the EU's information requirements

All projects that receive support through us must show it by using the EU logo and the Leader Skåne Mitt Nordväst logo. Note that the Swedish Board of Agriculture can deduct or reclaim the support if the recipient does not meet the information requirements.

The logos should be present in documents and printed materials such as brochures, newsletters, signage, advertisements, and films.

The logos should also be present on the websites and in the social media that contain information about the project. There should also be a short description of the project, information about its purpose and results, a link to the Leader Skåne Mitt Nordväst website, and information that the money partly comes from the EU.

It is important to use the logos correctly. On the Swedish Board of Agriculture's website you can read more about the guidelines that exist.

Report working hours

For reporting working hours in the project, you use the Swedish Board of Agriculture's form ”Project diary”.

Report voluntary time

In all leader projects, co-financing in the form of voluntary time is required. To facilitate the reporting work, you should write down the voluntary hours continuously throughout the project period.

It is fine to create your own Excel file or you can use the Swedish Board of Agriculture's forms. The important thing is that it is clear who has done something, when it was done, and what has been done. The lists also need to include contact details, such as phone numbers, for those who have contributed with voluntary work.

Travel compensation

For reporting travel compensation by car within the project, you use the Swedish Board of Agriculture's form.

When purchasing used equipment

To certify that the used equipment or the reused material that you have purchased in the project was not purchased with support from public funds by the previous owner, you use the Swedish Board of Agriculture's form.

Apply for an advance

There is an opportunity to apply for an advance as soon as you have received the formal decision from the Swedish Board of Agriculture – this applies to everyone except municipalities and authorities.

In the decision, you can see how much support you can receive from the Swedish Board of Agriculture, the project support part. That is the amount that forms the basis for what you can receive in advance. You can apply for up to 250,000 kronor in advance, the exact amount for your project is stated in the decision.”

Remember to report expenses even for the advance, it is part of your granted support. You report in connection with the application for partial and final payment.

Apply for partial payment

When costs have arisen in the project, an application for partial payment can be made to the Swedish Board of Agriculture. This is preferably done regularly during the course of the project. Always contact the office before you make an application for partial payment!

The office is happy to assist and answer questions or hold a working meeting and go through the application for partial payment together with you.

Be careful with the payment proofs

In addition to invoice copies, you also need payment proofs that show that the payments have gone through. A payment proof can be downloaded from the online bank, often you can click on “Historical payments” or similar. The following should be stated on the payment proof:

  • Payment date
  • Paid amount
  • Sender (which account the money has been withdrawn from)
  • Recipient (that the payment has gone to the same plusgiro, bankgiro, or account number as stated on the invoice)
  • That the payment has been completed. “Immediate payment” is not considered a completed payment.
Avoid deductions

Read the decision carefully. Follow the conditions, approved project plan, and budget. If you deviate from the project plan and your decision, you risk not receiving the funds you have applied for. Only the expenses stated in the decision are eligible for support.

Be careful with the logos. Ensure that the correct logos are included on all materials. If this is missed, there is a risk of deductions. We can advise you if you are unsure.

Do not forget to separately account for the project's expenses. To avoid deductions, you should be able to produce a report from the accounting that only includes the expenses related to the project.

When things do not go as planned

During the implementation of the project, it is important that you work according to your project plan and follow your decision on support. Since the decision is based on the application with the project plan and budget, deviations from these must be communicated to and approved by the office before the change can be implemented. Otherwise, there is a risk that the support cannot be paid out.

Contact us at the office if something does not go as planned in the project. Likewise, if you need more time to implement the project. It is important that this contact occurs before you make any changes.

For changes that have been communicated and approved by the office, you should submit a form to the Swedish Board of Agriculture.
